INFO FOR NEW INTERNS

WELCOME TO THE SUSTY OFFICE!!

(When in doubt, consult THIS DOC (https://www.dartmouth.edu/~seo/docs/new_se_checklist.pdf)  for more detailed information!)

STEP 1: Watch the Kronos Video. DO IT. It’s required.

STEP 2: Fill out the Federal Form I-9

Generally, your I-9 and employment forms must be completed only once at Dartmouth College. If you have already completed them for a previous position, they are probably already on file.

STEP 3: Fill out Part 2 of Federal Form I-9

  • Go to the Payroll Office (7 Lebanon Street, Suite 309, Hanover, NH) between 10am and 3pm. You must complete an I-9 Form IN FRONT of a Payroll representative.

  • Bring original documentation from List A or 2 documents from List B on the list here.

  • This form must be completed within 3 days of the start date of your job.

  • This form can be completed only with original documentation and in front of a certified I-9 representative (see below). Photocopies cannot be accepted.

  • ***If you do not complete the Form I-9 on time, you WILL HAVE TO STOP WORKING! No Joke.***

STEP 4: IF YOU ARE A FOREIGN NATIONAL READ THIS STEP. If you are a US Citizen, SKIP THIS STEP.

  • Foreign National Tax Treaty Application

  • Non-resident aliens are strongly encouraged to complete and take this form (with supporting documents) in person to the Dartmouth Payroll Office at 7 Lebanon Street, Suite #309.

  • Check out this link.

STEP 5: IF YOU ARE UNDER 18, READ THIS STEP. If you are over 18, SKIP THIS STEP.

STEP 6: Go Paperless! Direct Deposit, Federal W-4, and Electronic Payslips (Go Green!)

STEP 7: Start Using Kronos and Log Your Hours!

  • FIRST, we count on you to accurately record your hours. This is a trust thing. We do check hours but we rely on you to be real.

  • We add you to Kronos and once your I-9 is done, you're "live"!

  • YOU are responsible for logging into your Kronos account. KEEP TRACK OF YOUR HOURS.

  • Kronos Hours are due EVERY OTHER FRIDAY. We'll send you a reminder.

  • Timesheets are sent to supervisors for review after the pay period ends.

  • Any hours not recorded in the pay period will require a revision process and will not be paid on time. If you need to revise a pay period or there was a mess up, COME SEE US sooner rather than later. We will help you solve the problem.
